Import / Upload Inventory Items Into Viberent

You can import inventory items into Viberent using the Bulk Item Import and Serial Number Item Import functions found in the main inventory menu. All bulk items must be imported using the Bulk Item Import and Serial Numbered items using the Serial Number Item Import templates.

Item import templates are generated from the settings within your Viberent account at the time of download. It is important you have correctly configured your Viberent account before using the item import function to catalogue your inventory.

To effectively use the item import function for cataloging inventory, make sure you have followed the below steps before downloading the template;

Ensure your Viberent account is connected to your accounting package. If your using a standalone system, ensure your income accounts and tax codes are correctly configured
Create your Period Types for all inventory items in the Configuration > Item Management Menu
Create all Categories > Subcategories for your inventory in the Inventory > Item Category Menu

You can download the template by selecting Download Item Import Template as shown below;

For Serial number items, select the Serial Number Item import option on the left side and click the Download Template button on the right side
For Bulk items, select the Bulk Item Import option on the left side and click the Download Template button on the right side

Open the relevant template in Excel and add data

Settings configured in your Viberent account will appear in the downloaded Item Import Spreadsheet allowing you to catalogue your items in bulk. A help tab is can be found on the bottom left of the template to guide you through the process.

When your import template is complete, you can upload the items into your Viberent account using the same Item Import screen in the main Inventory Menu. Simply select the option on the left side and Choose File on the right side to locate the template on your computer and press start import as shown below;

If your import template has contains any formatting errors, an error message will notify you of the issues on each row. You can simply re-open the file, make the required changes and re-upload again.
